Terms & conditions
Last updated 17 September 2026
1. Who you are dealing with
Zenzo Systems ("Zenzo", "we", "us") provides business software to South African businesses. You can reach us at zenzosystems@gmail.com, Monday to Friday, 08:00–17:00 SAST.
These terms apply to everyone who uses Zenzo. By creating an account you agree to them. If you are agreeing on behalf of a company, you confirm you are allowed to do that.
2. What you are subscribing to
Zenzo is software you use over the internet. You are not buying a copy of it, and you are not buying hardware. You get a licence to use it for as long as your subscription is paid and current.
Each product — Zenzo Buziness Till, and the others as they are released — is a separate monthly subscription at the price shown on our pricing page at the time you sign up. Prices exclude VAT unless stated otherwise.
We add to and improve the software over time. Occasionally that means changing or removing something. If we remove something you rely on, we will tell you before we do it.
What Zenzo is not
Zenzo is not accounting software, it is not a tax service, and it does not file anything with SARS on your behalf. It keeps accurate records that your bookkeeper or accountant can work from. Your tax affairs remain yours.
3. Your free first month
Your first 30 days cost nothing. Everything works exactly as it does on a paid account — it is not a cut-down demo.
You still have to put card details in to start it. That is not a trick to catch you out; it is so the subscription can carry on by itself when the free month ends, without you having to remember to come back. Nothing is taken on the day you sign up, and we tell you the exact date of the first charge before you confirm.
You may cancel at any time before the first paid billing date, and no subscription payment will be taken. That date is shown at checkout, again in your dashboard under Subscription, and cancelling takes two clicks from there.
One free month per business. Opening a second account for the same business to get another free month is not on, and we will bill or close accounts that do it.
4. Paying for it
After the free month, subscriptions are billed monthly in advance through PayFast, on the same date each month. We do not store your card details — PayFast does.
If a payment fails we will try again and let you know. If it still has not gone through, your access is suspended until it does. Your data is not deleted while a payment is being chased.
We may change our prices. Existing customers get at least 30 days' notice by email before a price change affects them, and you can cancel before it takes effect.
5. Cancellation and refunds
Cancelling your subscription
You may cancel your Zenzo subscription at any time from your dashboard under Subscription.
There is no minimum subscription period and no cancellation fee.
When you cancel, your cancellation takes effect at the end of your current subscription period. You will continue to have access to Zenzo until that date.
Cancellation prevents the next subscription payment from being charged. Cancelling does not automatically create a refund for the subscription period that has already been paid for.
Monthly subscriptions
Zenzo subscriptions are charged monthly in advance.
Once a monthly subscription payment has been successfully processed, the subscription remains active for the full period that the payment covers. We do not normally provide partial or pro-rata refunds for unused days where you choose to cancel during that period.
For example, if your monthly subscription runs from 1 June to 30 June and you cancel on 10 June, you will continue to have access until 30 June, but you will not receive a refund for the unused portion of June.
This policy does not affect any rights or remedies that cannot lawfully be excluded or limited under South African law.
Your free first month
Your first 30 days are free, as described in Section 3.
You may cancel at any time before the first paid billing date. If you cancel before that date, no subscription payment will be taken.
The purpose of the free month is to allow you to use the full Zenzo service and decide whether it is suitable for your business before any monthly subscription payment is made.
Electronic transactions and cooling-off rights
Zenzo provides access to the software immediately after registration and payment where applicable.
Where South African law provides a cooling-off or cancellation right for an electronic transaction, that right will apply according to the requirements and exceptions contained in the applicable legislation.
Where the law permits a service to commence before the expiry of an applicable cooling-off period with the customer's consent, Zenzo may rely on that statutory provision.
Nothing in these Terms is intended to remove, restrict or waive a right or remedy that South African law does not permit Zenzo to exclude.
When Zenzo will issue a refund
Zenzo will provide a refund, credit or other appropriate remedy where required by applicable law.
We will also correct billing errors and, where appropriate, refund amounts where:
- you were charged during your free trial when no payment should have been taken;
- you were charged more than once for the same subscription period;
- you were charged an incorrect amount;
- you were charged after a cancellation had been successfully processed and the payment should not have been taken; or
- Zenzo stops providing a paid product before the end of the period for which you have already paid, in which case any appropriate refund will be determined based on the circumstances and applicable law.
If you believe that you have been incorrectly charged or that a refund is due, contact zenzosystems@gmail.com with your account and payment details. We will review the matter and respond as soon as reasonably possible.
No loss of statutory rights
Nothing in these Terms limits your rights under applicable South African law.
If any provision of this Section is found to be unenforceable or inconsistent with a mandatory legal requirement, that provision will be applied only to the extent permitted by law, and the remaining provisions will continue to apply.
If we end your subscription
We may end your subscription if you breach these Terms in a serious way — for instance by using Zenzo for something unlawful, or by attempting to attack or gain unauthorised access to the system.
6. What happens to your data
Your business records are yours. Your products, sales, prices, customers and reports belong to you, not to us. We hold them so the software can work.
While you are subscribed
You can export your data from your dashboard at any time. We would encourage you to do it periodically anyway — it is your business's history.
After you cancel or stop paying
- Until the end of your paid month: nothing changes. You paid for it, you keep it.
- Once a month goes unpaid: the software stops working. The till will not take a sale and the dashboard will not open normally.
- For 30 days: you can still log in and read and export your records. This is deliberate — it means missing a debit order cannot cost you a year of sales history.
- After 30 days: your records are permanently deleted, including from backups within a further 30 days. This cannot be undone and we cannot get them back for you.
If you need longer, ask before the 30 days are up. We would rather hear from you than delete something you needed.
7. Privacy and POPIA
We process personal information in line with the Protection of Personal Information Act 4 of 2013.
What we collect about you
- Your name, email address, phone number and business details — so we can run your account.
- Your payment status — PayFast tells us whether a payment succeeded. We never see your card number.
- Basic technical logs — so we can keep the service running and investigate problems.
Information about your customers
If you record customer details in Zenzo, you are the responsible party for that information under POPIA and we are the operator processing it for you. In plain terms: it is your data about your customers, we hold it on your instructions, we do not use it for anything of our own, and we never sell it or share it with anyone else.
Receipt links are unguessable and are not listed or indexed anywhere, but anyone holding the link can open that one receipt. Send them to the customer they belong to.
Your rights
You can ask us what we hold about you, ask us to correct it, or ask us to delete it. Email zenzosystems@gmail.com and we will respond within 30 days. If you are unhappy with how we handled it, you can complain to the Information Regulator of South Africa.
8. Using Zenzo properly
You agree not to:
- use Zenzo to record or facilitate anything illegal;
- share one subscription across separate businesses that should each be paying — one subscription covers one business;
- try to access another customer's data, probe the system for weaknesses, or interfere with it;
- resell or rebrand Zenzo as your own product without a written agreement with us.
You are responsible for keeping your password to yourself and for what is done on your account. Tell us straight away if you think someone else has got into it.
9. Availability, and what we don't promise
We work to keep Zenzo running, but we do not promise it will never be unavailable. We need to do maintenance, and things outside our control break — networks, hosting providers, payment gateways.
The offline till is designed exactly for this. Sales made with no connection are held on your device and upload when it returns. But it is a device: if it is lost, wiped or reset before those sales have uploaded, they are gone, and we cannot recover them. Check that the till shows nothing waiting to upload before you wipe or replace a device.
Zenzo is provided as it is. We do not warrant that it will be free of faults or that it will suit every purpose you might have for it.
10. Liability
Nothing in these terms limits liability where the law does not allow it to be limited — including for death or personal injury caused by our negligence, for fraud, or under the Consumer Protection Act 68 of 2008 where it applies to you.
Otherwise, and as far as the law allows, our total liability to you for anything connected with Zenzo is limited to what you paid us in the three months before the problem arose. We are not liable for lost profits, lost business or indirect losses.
This is not us trying to be careless. It is the ordinary limit for software at this price: R349 a month cannot carry unlimited risk, and if it had to, it would not cost R349 a month.
11. Changing these terms
We may update these terms. If a change materially affects you we will email you at least 14 days beforehand, and the date at the top of this page will change. Carrying on using Zenzo after that means you accept the new version. If you don't, cancel.
12. Law and disputes
These terms are governed by South African law, and the courts of South Africa have jurisdiction.
If something goes wrong, please email us first. Most things are a misunderstanding and get sorted out in a day. If we genuinely cannot agree, and the Consumer Protection Act applies to you, you may refer the matter to the National Consumer Commission or an accredited ombud.
